Reinstate a cancelled renewal
A member changed their mind — they'd cancelled their renewal, or the lapsed period ran out and they were automatically resigned — and now they want back in. This recipe brings their household renewal back into the normal flow.
| Household renewal status | Do this |
|---|---|
| Excluded | Click Include |
| Cancelled or Resigned | Click Reinstate |
| Pending, Auto Scheduled, Confirmed, Grace Period or Lapsed | Nothing needed — they're already in the flow. If payment's the problem, see Resolve a failed renewal payment |
| Renewed | They're already done. If they think otherwise, send them to their dashboard |
Who: Club Admin or Membership Manager. Where: admin panel. Takes: about 3 minutes.
Before you start
Nothing to prepare — this is a status change, not a payment. Just check which situation you're in from the table above; Reinstate and Include only appear on the statuses they apply to, so if you don't see the button you expect, the household isn't in the status you think it is.
Steps
- Open the household renewal — from a campaign's Household Renewals tab, under Members → Renewals → Renewal Campaigns, or directly from Members → Renewals → Household Renewals.
- In the page header, click Reinstate (or Include, if they were excluded rather than cancelled).
- Confirm.
What happens next
The household moves back to Pending, ready for a clean Pay Now experience rather than picking up a stale Direct Debit schedule — any payment or mandate details left over from before are cleared, so the household starts fresh. Every member who was Resigned or Lapsed in the household goes back to Active, and anyone who'd opted out of renewal invitations has that cleared too. We send a renewal reminder straight away, so the member knows there's something to act on.
The reinstatement is written to the household renewal's activity log. Nothing they were told on the way out — a "Membership Resigned" email, say — is recalled; it stays in their inbox as history.
If it does not work
The Reinstate button isn't there
It only shows for Resigned or Cancelled household renewals. For Excluded, use Include instead — same outcome, different button.
Members are still showing as Resigned after I reinstated
Refresh the page first — the status may just be stale. If it's still wrong, check the household's activity log for the reinstatement entry; if it's missing, the action didn't go through and it's worth trying again.
There's no active campaign to reinstate them into
If the season's campaign has finished, reinstating inside it isn't an option. The member comes back the way any returning member does — through Welcome Back on their restricted dashboard; see Renewals → When a member wants to rejoin.
Their Direct Debit mandate is gone too
Reinstating doesn't bring back a cancelled GoCardless mandate — mandates are one-way at the provider. The member needs to set up Direct Debit again from Profile → Payment methods before the renewal can be auto-scheduled.
