Match your club to England Athletics and import
The fastest way to get an affiliated club's roster onto RunClub HQ is the one nobody has to type: match your club to its England Athletics record, then import. This recipe is the quick version — see Getting your members in for the full walkthrough, including why some athletes are held for your review rather than imported outright.
Who: Club Admin. Where: the admin panel, Settings → Branding, then Members → EA Review. Takes: about 10 minutes, plus a minute for the import to run.
Before you start
You don't need a club number — nobody does, and England Athletics doesn't publish them. Just know your club's name, or the town it's based in.
Steps
Find your club
- Open Settings → Branding → Club Information.
- In England Athletics Club, start typing your club's name — or your town, if you're not sure how it's registered.
- Pick your club from the list and Save.
Run the import
- Import your roster now appears next to the field — or go to Members → EA Review and choose Import from England Athletics.
- Read the preview: how many athletes are on the roster, how many would be created as prospects, and how many would be held for your review, and why. Nothing is written yet.
- Choose Run the import. It runs in the background — give it a minute, then check Members → All Members and the review queue.
What happens next
- Everyone England Athletics shows as currently, competitively registered with your club arrives as a prospect: name, date of birth and URN, no email, no login. Nobody is emailed — an import creates records, not invitations.
- Anyone England Athletics can't currently vouch for is held under Members → EA Review → Review Items, with the reason, for you to create or dismiss by hand.
- The import runs again by itself every night, so athletes who register with England Athletics during the season turn up without anyone asking.
- Your pilot's login cap isn't touched — it counts logins, not records, so importing hundreds of people still leaves every login slot free until you start giving people sign-ins.
If it does not work
The search finds no matching club
Try a shorter search, or your town rather than your club's full name. If it's still not there, your club may be registered under a name you wouldn't recognise, or may not be affiliated at all — tell us and we'll look.
Import your roster isn't offered
The import only appears once your club has been matched to its England Athletics club — go back to Find your club above.
The numbers in the preview don't look like your club
Stop before running it and tell us rather than continuing — a mismatch here usually means the wrong club was matched.
Someone is stuck in the review queue for the wrong reason
Open Members → EA Affiliations and check their England Athletics status directly. A second-claim member showing as Second Claim Not Registered needs their first-claim club to renew them, not action on your end.
